Role Overview

The Human Resources Volunteer will provide general support to employees and assist in day-to-day HR operations and administrative tasks, improving the efficiency and effectiveness of HR processes.

Key Responsibilities

  • Perform operational and administrative tasks in Human Resources.
  • Supervise work/activities in departments under HR.
  • Conduct reference checks on new employees and volunteers.
  • Prepare employment contracts, manage probation confirmations, and handle contract extensions.
  • Conduct exit interviews and ensure final dues are paid accurately and promptly.
  • Assist in employee surveys on employment and job satisfaction.
  • Ensure the return and recording of resources like keys and uniforms.
  • Ensure orientation plans for new staff are completed and documented.
  • Maintain work permits and visas for foreign employees/volunteers.
  • Maintain up-to-date HR filing systems and personnel records.
  • Monitor staff leave status and update the leave database, providing monthly reports.
  • Notify line managers of contract renewals and issue notices as appropriate.
  • Update HR database system with employee details, performance, training, and absence records.
  • Maintain confidentiality of all staff records.
  • Collaborate with IT for HR database support and updates.
  • Generate attendance reports and advise line managers on trends or inconsistencies.
  • Review monthly rosters to ensure compliance with employment guidelines.
  • Work with HR Manager to improve HR processes, strategies, and operations.

Qualifications & Skills

  • Diploma in Human Resources Management or Public Administration (minimum).
  • Excellent communication and interpersonal skills.
  • Proactive with strong organizational skills.
  • Knowledge of Tanzanian employment laws and guidelines.
  • Eager and willing to learn.
