Job Summary

The Group & Event Billing Supervisor is responsible for preparing all event documentation and coordinating with Sales, property departments, and customers to ensure high-level service throughout pre-event, event, and post-event phases. The role involves checking turnovers, figures, postings, billing, and documentation for accuracy, setting up proper billing accounts for Group and Catering Agreements, and maintaining all files, records, cash, and supporting documentation according to company policies.

Key Responsibilities

Managing Event Logistics and Operations

  • Ensure events progress seamlessly by following procedures, collaborating with employees, and ensuring billing accuracy.
  • Adhere to standards, policies, and procedures.
  • Ensure advance deposits for Groups and Events are received as per sales agreements.
  • Track Group and Event deposits in Opera Sales & Catering according to internal controls.
  • Prepare, review, and issue bills, invoices, and account statements following company procedures.
  • Review group master bills for accuracy, check figures, postings, and documents.
  • Conduct bill reviews with clients before processing final bills.
  • Organize and maintain all supporting documents according to retention policies.
  • Submit Bonvoy Events claims in Group Posting tool.
  • Follow-up and resolve past due balances until payment is received or resolved.
  • Process refunds due to customers on finalization of event billing.
  • Perform other duties as assigned to meet business needs.

Ensuring and Providing Exceptional Customer Service

  • Deliver excellent customer service and encourage other employees to do the same.
  • Actively listen and respond to guest communications, concerns, and requests using brand or property-specific processes.

Coordinating with Event Management Teams

  • Attend pre- and post-event meetings to review and communicate group billing requirements.

Conducting Human Resources Activities

  • Work with staff and customers to address billing challenges.
  • Serve as a departmental role model or mentor, training employees on company values, roles, responsibilities, and technical/service aspects.

Candidate Profile

  • 3-year degree or diploma in Hospitality Management, Finance, Business Administration, or related field.
  • At least 5 years’ experience in credit management, event management, or related professional area.
