Job Summary

Signature Healthcare Limited, an ISO 9001:2015, WHO-GDP, and Blue Certified company specializing in the importation and marketing of pharmaceuticals, is seeking a Tenders Associate – Pharmaceuticals to join its vibrant team. The ideal candidate will assist in tender preparation, proposal drafting, client outreach, and coordination of tender submissions to ensure accuracy, compliance, and efficiency.

Key Responsibilities

  • Draft high-quality proposals, quotations, prequalification, and tender responses, ensuring professionalism and compliance.
  • Follow up with tender sources after submission and maintain a database of key contacts for continued engagement.
  • Coordinate tendering and contract review activities across relevant departments.
  • Record and invoice customer orders in collaboration with the sales and finance departments.
  • Make cold calls to clients based on regional weekly plans to promote offers, secure orders, and conduct surveys.
  • Maintain an updated database of clients, procurement, and accounts contacts.
  • Monitor and document customer complaints, ensuring corrective and preventive measures are implemented.
  • Maintain tender documentation for easy retrieval and reference.
  • Prepare regular tender and prequalification status reports and projected timelines.
  • Research and maintain a database of existing and new tender/bid opportunities.
  • Propose improvements to tendering procedures to enhance business efficiency and competitiveness.
  • Track eligible tenders, quotations, and local purchase orders for monthly financial projections.
  • Contact clients within two days of goods dispatch and conduct quality follow-up calls on stock movement.
  • Conduct regular market research and customer sentiment surveys, submitting strategic growth reports.
  • Make strategic calls to pre-selected clients for lead generation, repeat business, and promoting new offers.
  • Perform additional tasks assigned by the divisional manager or management as needed.

Minimum Requirements

  • Diploma or Degree in a medical-related field.
  • Previous experience in pharmaceutical distribution is a must.
  • Hands-on experience in tendering processes.
  • Experience in sales and a strong passion for marketing.
